How the cost of no-shows is calculated
No-shows are quietly expensive because the lost slot usually can't be
resold — the revenue is simply gone. This calculator uses
yearly revenue lost = appointments per week × 52 weeks ×
(no-show rate / 100) × average appointment value, then divides
by 12 for a monthly figure. It answers the question most clinics, salons,
and service businesses never actually calculate: "what is my no-show rate
really costing me, in rupees, every year?"
Worked examples
Example 1 — a dental or physio clinic: 40 appointments/week, a 15% no-show rate, and an average appointment value of ₹800. Yearly loss = 40 × 52 × 0.15 × 800 = ₹2,49,600 — about ₹20,800/month, roughly 6 missed appointments every week.
Example 2 — a busy salon: 100 appointments/week, a 10% no-show rate, and an average appointment value of ₹500. Yearly loss = 100 × 52 × 0.10 × 500 = ₹2,60,000 — about ₹21,667/month, even at a lower no-show rate, because of the higher volume of appointments overall.
Why no-shows happen — and what actually fixes them
Most no-shows aren't deliberate cancellations — they're simply forgotten appointments. Industry data across clinics and salons consistently shows that a timely reminder sent close to the appointment time (not just at booking) is the single most effective fix, often cutting no-show rates by a third or more, because it re-surfaces the appointment right when someone is deciding whether to show up.
Automated WhatsApp reminders
Manually calling or texting every customer to confirm doesn't scale — but an automated WhatsApp reminder, sent the day before and again a few hours ahead, does. BizGo's Review Engine already messages every customer automatically after their visit; the same automated WhatsApp infrastructure can remind them before it, turning the "revenue lost" number above into revenue kept. Frequently Asked Questions
yearly loss = appointments per week × 52 × (no-show rate / 100) × average appointment value. 40 appointments/week at a 15% no-show rate and ₹800 average value costs about ₹2,49,600/year.
It varies widely by industry — many clinics and salons see 10-20% no-show rates without active reminder systems in place, though this varies by appointment type, booking channel, and how far in advance appointments are made.
Timely reminders sent close to the appointment (not just at booking time) are the most consistently effective fix — most no-shows are forgotten appointments, not deliberate cancellations.
WhatsApp messages have very high open rates and can be automated at scale without the per-message cost and effort of manual phone calls, making a consistent reminder schedule realistic for even a small team.
No — it assumes a missed slot is lost revenue, which is the common case for most appointment-based businesses with limited daily capacity. If you can reliably fill cancelled slots from a waitlist, your real loss is lower than shown here.
